How Headspace uses Litmos to help provide every person lifelong mental health support

Who is Headspace?

Think of Headspace as a lifelong guide to better mental health. Through evidence-based meditation and mindfulness tools, mental health coaching, therapy, and psychiatry, Headspace helps create life-changing habits to support mental health and promote a healthier, happier you.

Through their flagship Headspace app, they provide mental health coaching in addition to mindfulness and mental health tools for everyday life, like guided meditations, sleepcasts, mindful movement, and focus exercises. Headspace’s enterprise offerings combine this experience with EAP and work-life services, as well as therapy and psychiatry services. The Headspace team of experts ranges from mental health clinicians to Emmy award-winning producers and data scientists, working together as one to help millions of people around the world be healthier and more productive.

The Headspace mission is to “provide every person lifelong mental health support.” To achieve that mission and provide top-level support to its clinicians and internal employees alike, Headspace turned to Litmos.

Why Litmos?

In 2021, Ginger and Headspace merged to form today’s Headspace, providing a full suite of mental health care services through its B2B and D2C channels. At the time of merger, legacy Ginger used Litmos and legacy Headspace implemented KnowBe4 (KB4) as their respective learning management solutions. However, considering the capabilities of Litmos, the Headspace Security & Compliance team decided to roll out Litmos as the consolidated training platform and automate its HR & security compliance program for its employees.

Transitioning their compliance training from KB4 to Litmos was seamless for their admins and learners. With Litmos, employees were able to resume their respective training courses where they left off, avoiding duplicative training and removing any potential ‘training fatigue.’ It also ensured that if a certain compliance training was completed in KB4, employees could renew compliance in Litmos on the anniversary of the completion date. Litmos helped Headspace achieve a frictionless learning environment through the company merger.

According to Bryan Wong, Security & Compliance Analyst at Headspace, “we chose Litmos because of the ease and convenience to create, deploy, and assign training, but also because of the ability to manage compliance. With only 10 admins globally at Headspace, Litmos’ automation features has allowed us to move away from manually assigning learning paths and courses, making it easier on our admins.”

Currently, Headspace uses Litmos LMS and Litmos Training Content to host all Headspace staff training including:

  • Compliance: General Data Protection Regulation (GDPR), California Consumer Privacy Act (CCPA), HIPAA
  • Legal: Healthcare Fraud, Waste, and Abuse; Foreign Corrupt Practices Act
  • Diversity and inclusion: LGBTQIA+
  • Human Resources: Sexual Harassment Prevention
  • Company training: Headspace Privacy and Security, Incident Management Training, Github Advanced Security

Results with Litmos

With nearly 1,000 learners and 10 admins, a critical component of Headspace choosing Litmos was their goal to be HITRUST compliance certified. According to Wong, “our investment in Litmos played an important role in the accreditations we have today.”

As a mental healthcare provider, the security and privacy of Headspace’s members is paramount. Their Information Security team reviewed several courses across multiple platforms but none of them met the rigor and individual use of HIPAA security & privacy training. Through Litmos and the Litmos Content Authoring Tool (CAT), Headspace has created and automated its Privacy and Security awareness training program. The Litmos Assign workflows, Manager Access, and Escalations help Headspace employees maintain compliance. Each employee’s compliance has contributed to Headspace achieving HITRUST certification and SOC2 compliance for the past two years, reassuring customers and members that their data adheres to HIPAA standards.

When asked about his experience with the Litmos Content Authoring Tool (CAT) to build out the Security & Privacy training course at Headspace, Wong said, “When it comes to content authoring, Litmos’ CAT is user-friendly. Its interface is straightforward to maintain and revert changes. Autosave and event tracking make version management simple and efficient. I can edit and publish content within a few clicks. It’s simple!”

The goal of the Headspace security training is to recognize sensitive data at Headspace, helping employees understand their role in protecting private data, know how to report compliance issues, making them aware of general security practices that are specific to Headspace, and ultimately to build a culture of security awareness within the organization to reinforce that all employees are responsible for protecting sensitive information.

“Since rolling out our security course on Litmos, our employees have become more knowledgeable on security protocols and how to report concerns. We have seen at least a 50% increase in notifications related to phishing emails, smishing (SMS Phishing) alerts, and drastically increased engagement on the internal security Slack channel,” shares Wong.

In addition, Wong and his team feel that they have seen better compliance completion rates. Wong states he has seen an increase in completion rates, “mostly due to the ability to give each manager access to their team’s training information and enabling escalation features which automatically will notify managers if a user has not completed their assigned training.”

In addition to the LMS, Headspace also utilizes Litmos Training Content. As a Litmos content customer, Wong believes, “by utilizing Litmos’ pre-built content collections, we save an average of 40 hours per course. The pre-built content in areas such as Compliance, HR, and Diversity/Equity/Inclusion saves us from having to coordinate, prepare, record, and approve those trainings.”

Headspace also takes advantage of Litmos’s out-of-the-box integrations such as Okta for Single Sign On (SSO).

The Headspace Clinical Training department uses Litmos to host monthly training workshops so that clinicians can provide consistent care directly to Headspace members. In 2024 they plan to deep dive into the instructor led training (ILT) feature to further automate their program. ILT will bridge the gap between Zoom, to host live meetings, and Litmos to record training compliance.
